Privacy Policy
This policy explains what information AutoBodyHQ ("AutoBodyHQ.com," "we," "us," or "our") collects, how we use it, who we share it with, and the choices you have. We wrote it in plain language on purpose. If anything is unclear, email us at privacy@autobodyhq.com.
Who we are and what we do
AutoBodyHQ helps auto body and collision repair shops find money they may have left off an insurance estimate. A shop sends us an estimate, and we return a free Missed Money Report that lists operations the estimate may be missing and the dollars at stake, priced using the shop's own posted rates. We are the shop's advocate, not the insurer's.
Information we collect
We collect two kinds of information:
- Shop and contact information. Your name, business name, email address, and phone number, plus anything else you choose to send us when you contact us or request a report.
- Uploaded estimates and their contents. The insurance estimates you upload or forward to us, and the information inside them. That can include the vehicle (year, make, model), the claim or repair order number, the repair line items, and the shop's posted labor, paint, and material rates.
How we use your information
We use the information you give us to:
- Generate your free Missed Money Report.
- Email the report to you and follow up about it.
- Improve and train our analysis and our service. This is a deliberate choice, so we want to be clear about it: we keep your estimates and the reports we produce, and we use them to make our analysis more accurate over time.
- Respond to your questions and provide support.
- Send you marketing emails about AutoBodyHQ (see "Marketing emails" below).
How AI is used to analyze your estimate
We use artificial intelligence to read and analyze the estimates you send us. The contents of your uploaded estimate are processed by a third-party AI provider, Anthropic (the Claude API), so the model can extract the line items and rates and flag commonly-missed operations. We use AI as a tool to produce your report; a person reviews reports before they are sent.
Service providers (subprocessors)
We rely on a small number of trusted providers to run our service. They process data on our behalf and only to help us provide the service:
- Anthropic (Claude API) - processes the contents of uploaded estimates to analyze them with AI.
- Microsoft Azure - hosts our website and stores the data described in this policy.
How long we keep your data
We retain uploaded estimates and the reports we generate indefinitely so we can keep improving our service. We are stating this plainly because it is a deliberate decision, not an oversight. If you would like your data deleted, see "Your choices and rights" below.
What we do not do
- We do not sell your personal information.
- We do not share a shop's estimates with insurers or with other shops. Your estimates are for our analysis and your report, full stop.
- We keep each shop's data isolated from every other shop's data, so one customer can never see another customer's information.
How we protect your data
Security and privacy are our top priority. We encrypt data in transit and at rest, and we isolate each shop's data from every other shop's data (tenant isolation). We limit who and what can access customer data and follow least-privilege practices. No method of storage or transmission is ever perfectly secure, but we work hard to protect the information you share.
Your choices and rights
You can, at any time:
- Ask us what data we hold about you (request access).
- Ask us to delete your data.
- Unsubscribe from our marketing emails.
To make a request, email privacy@autobodyhq.com. We will respond within a reasonable time. Depending on where you live, you may have additional rights under local law.
Marketing emails
We may send marketing emails, including cold outreach, to shops we think would benefit from AutoBodyHQ. Every marketing email includes a way to unsubscribe, and you can also email privacy@autobodyhq.com to opt out. We will honor opt-out requests.
Children
AutoBodyHQ is a business tool and is not directed to children. We do not knowingly collect information from anyone under 16.
Changes to this policy
We may update this policy from time to time. When we do, we will change the effective date at the top of this page. If the changes are significant, we will take reasonable steps to let you know.
